What AI features are included and how do they work?
Professional and Enterprise plans include two AI features. The Smart Digest generates a daily briefing of the 5–7 priority actions across your portfolio — arrears overdue, quorum gaps, stalled contractor jobs — so you start each day knowing exactly what needs attention. The Document Drafter produces a first draft of arrears notices, AGM reminders, contractor chase emails, complaint acknowledgements, and more, pre-filled with the correct names, dates, and amounts. You review, edit, and send. Nothing goes out automatically.
Is there a free trial?

What counts as a 'property'?
A property is a single development — a block of flats, housing estate, or mixed-use building managed under one factoring agreement. Multiple buildings managed as one entity (e.g. three tenement stairwells on the same street) can be grouped into a property block.
Can I upgrade or downgrade at any time?
Yes. You can upgrade immediately and the difference will be prorated. Downgrades take effect at the next billing cycle.
Is there an annual discount?
Yes — paying annually saves you compared to monthly billing. Ask us about annual rates when you get in touch.
Do you charge per unit or per resident?
No. Pricing is per organisation, not per unit or per resident. You can add as many properties, units, and residents as your plan allows without any per-unit fees.
How long does it take to go live?
Most firms are fully live within 5 working days. Your dedicated onboarding contact walks you through property setup, resident invitations, and your first charge cycle. If you're migrating from an existing system, we schedule the data import around your timeline so there's no disruption to ongoing collections.
Can I migrate data from my current system?
Yes — all plans include dedicated onboarding support, and we assist with migration from any existing system, including STRATA, spreadsheets, or legacy desktop software. We import your properties, units, resident records, and charge history so you're not starting from scratch. Professional plans include assisted migration and Enterprise plans include a full hands-on migration service.
What payment methods do you accept?
We accept all major credit and debit cards via Stripe. Enterprise customers can arrange invoiced payment.
Is my data GDPR compliant?
Yes. Data is stored in UK-based infrastructure (AWS eu-west-2), encrypted at rest and in transit. Residents can request a full data export or deletion — both are built into the platform.
Does Factorly handle GoCardless direct debit?
Yes. Residents authorise a GoCardless mandate once through the portal — future charges are collected automatically each cycle. No manual bank transfers, no chasing.
Is Factorly compliant with the Property Factors (Scotland) Act 2011?
Yes. Every action in the platform is timestamped and logged with the responsible user. WSOS management, complaint workflows, and the full audit trail are all built to support your obligations under the PF Act and Code of Conduct.
What happens to my data if I cancel?
Your data is always yours. You can export everything — properties, units, residents, charges, payments, documents, and your full audit trail — at any time in standard formats. If you decide Factorly isn't right for you, we make that straightforward. No data held hostage, no export fees.
Will my residents actually use the portal?
Residents access the portal from any browser — there is no app to download and no account setup friction beyond clicking their personal invite link. For residents who prefer post, PDF invoices and statements continue to be available at any time. In practice, residents engage with the portal primarily for payments, announcements, and maintenance requests — the tasks where digital is fastest for them.
